All original documents are kept securely by HKP. Registration and equalities forms are kept for a maximum period of 2 years. At the end of this period, these documents are securely shredded by a professional certificated service.

Safeguarding and data sharing

It is the duty of care of HKP to ensure that any children, young people, and adults participating in our services are safe from harm and exploitation. If we have concerns for the welfare of any of our members, we may share information with other professionals and services, with your knowledge.

Our staff have enhanced DBS checks and are registered with the DBS update service. Please ask for a copy of our safeguarding policy if you would like to know more about how we keep everyone safe.

Use of photographs and videos

Please be aware that The Hangleton and Knoll Project (HKP) may take photographs or video footage during events, activities, and courses. These images may be used to promote and report on our work in various formats, including print and online publications, presentations, websites, social media, community events, and project reports (such as annual and funder reports).

Using these images helps us raise our profile, connect with new residents, and attract funding. We are extremely grateful to those who appear in our photos for supporting our efforts.

If you do not wish to be photographed, please inform a member of staff on the day. No royalty, fee, or other compensation will be payable for the use of these images.

Use of Aspire database

HKP records information on a secure database called Aspire, operated by Brighton & Hove City Council and East Sussex County Council. Information recorded includes the names of those who attend activity sessions and details of what took place. Only authorised professionals have access to this database.

We may use the information you provide to send you newsletters and information emails, keeping you informed about our events, services, and opportunities. You can opt out of receiving these communications at any time by following the unsubscribe link in our emails or contacting us directly.
